Time-Saving Tips and Techniques for Microsoft Outlook

Considering the fact that we spend so much writing and responding to emails, it is not surprising that we all look for new tips and techniques that will help us make the best use of Microsoft Outlook. With this in mind, we present to you a few time-saving tips and techniques.

 

·        By keeping your mails organized in folders, you are saving yourself some precious time the next time you need to look for a particular message. However, moving messages in Outlook could take time. By using keyboard shortcuts, you could easily and very quickly move mails to specific folders. By simply pressing Ctrl + Shift + V, you will be able to access the entire list of folders. Then just use the up/down buttons or the mouse to select the folder you want to move the mail to. You could also use the same method to quickly create a 'New' folder.

·        How many times has it happened to you that you have deleted an Outlook item only to realize that it still contained information that you needed? Not to worry, Outlook lets you easily recover deleted mails by simply pressing Ctrl + Z or by going to the 'Deleted Items' folder and then moving the message back to the correct folder. ·        Many a time, you want to read your personal mails only after you have attended to mails that require your immediate attention. Would it not be great if some of these emails went directly to folders assigned to them so that you could read them at your leisure? It is easy to set up Outlook so that incoming mail from specific senders can be automatically sent to folders assigned to them.

o       Select the message from the sender for whose emails you want to set up this rule. Now right-click on the message for the menu options to appear. Select the 'Create New Rule''option.

o       Ensure that the 'From Sender' is correct and checked.

o       You now need to select the box 'Move the Item to Folder' and click the 'Select Folder'' option. This will bring up the list of folders from which you need to select the correct target folder.

o       You might now want to run this rule to move messages from a folder to the target folder. Select the folder that you want sorted in this manner and check the box 'Run this rule now on messages already in the current folder'.

o       The rule will also ensure that all new messages from the sender specified will be automatically directed to the target folder.
